MINUTES OF THE MEETING HELD ON 10th DECEMBER 2009

Present: John Bass, Brian Pinchen, Ruth Partridge, Christine Mitchell,
                 Dave Mitchell, Allison Honeywood, David Greene, Phillip Conroy,
                 Anne Bass, Nina Greene.

 1. Apologies for absence: Tina Mitchell, Tony Edwards.

   2. To approve as a correct record the minutes of the meeting on 
        3rd November 2009. The minutes were proposed, approved and signed.

   3. Matters arising from the Minutes.

        These were discussed in Secretary’s Report and reports from
        Committee Members below.

   4. Secretary’s Report

     A Grant from Aldwick Parish Council for £300 for insurance cover was
     collected on behalf of the Association by our Chairman Brian on
     24th November 2009.

      Emails have again been sent to PfP and West Sussex County Council 
      regarding the maintenance on the estate.

      Anne and John attended the Police Forum at Bognor Police Station in
      November and brought up vandalism and speeding on the estate.
      This is ongoing between us and the PCSOs.

      We are submitting a grant application from Grassroots to aid us in
      starting our coffee/tea and social mornings. More news to follow.

     Storage. We have a problem in storing items of donated goods etc.
     between Fayres. We have looked into storage locally but the price is too
     high for our association. Does anybody have or know of a dry storage area
     (i.e. brick garage) not on the estate available at a nominal rent.

 

   5. Reports from Committee Members.

         John - With regards to maintenance problems with PfP and WSCC on our
        walkabout we can now confirm that the fence, the heating problem of one
         of our members and the inspection cover have now been completed.

         John - It has come to our attention from members who noticed a second 
         walkabout with PfP, WSCC and an APC Councillor in November who were
         taking photographs and discussing the estate development.
         John (as our Councillor for the estate and members of our Committee
         were not invited and did not know this was happening!).
         This was also brought up at a Parish Council meeting.
         Some of our members will be going to the Full Council Meeting on
         21st December to ask why this happened.
         Any member of the public can attend this meeting.

       6. Christmas Fayre - 21st November 2009.
 
         We would like to thank everyone who attended or helped at the Fayre,
         which was a great success. We made over £800 profit on the day, this 
         was a great amount. We have sent thank you letters to all businesses
         who donated to our Raffle and also to the Observer letters column 
         with a brief report on the Fayre.

      7. Any Other Business
            CAROL SINGING -
          APC are holding their annual carol singing outside the Co-oP,
          Nyetimber Lane (around the tree) at 6.30pm on Thursday 17th December. 
          All are welcome to this event.

          Members of our Committee will be meeting the Allotment Committee
           in January to discuss the maintenance and upkeep of the allotments.

          Table Top Sale in February. We are hoping to hire the Willowhale Centre
           in February for a table top sale - more to follow after Christmas.

          It came to our notice at the meeting that some house owners who pay
          maintenance to PfP have received a massive increase in their charge for
          next year. Although we disagree with the increase and we will put this
          on our website each individual house owner who has had a letter
          should take legal advice, singularly or collectively and inform your local MP.

       8. The date of the next Committee Meeting (Committee Members only)
            to be held on Thursday, 28th January 2010.

       9. The meeting closed at 10.30 pm.
